Scheduling a Call with a Company

About this Task

This topic will instruct you how to add a record that schedules a call with a company. Once a call record has been scheduled it will appear in the Calls List Layout.


Prerequisites

Ensure that you have opened the Calls List Layout

 

Procedure

  1. Click the new calls icon in the upper right of the layout.

  2. The Company Module Picker dialog appears for you to locate and select the company that you are scheduling a call with.
    See Company Picker Dialog for more details on using this dialog
  3. Once you have located the required company, click Select.

  4. The new call record is inserted.
  5. Populate the record, using the below table as guidance:-

    Field

    Comments

    Scheduled

    Set this with the date the call is scheduled for.

    Type

    From the drop-down, select the Type of call, i.e.
    PR Call,
    Cold Call

    Client Visit
    etc.

    Company

    The company that the call is scheduled with. This will already have been populated with the company you selected in step 3)

    Note clicking in this field will invoke the Company Picker dialog and allow you to select a differing company.

    Switchboard

    The switchboard number for the company

    Email

    The email address for the contact that the company

    First Contact

    The contact person at the company.
    Note: clicking this will invoke the Contact Picker dialog allowing you to either
    a) select a contact that has been set up for the company
    b) create a contact for the company..

    Direct Line

    Phone number from the contact.

    Mobile

    Mobile number from the contact.

    Email

    The email address for the contact.

    Created By

    This is automatically stamped with your user name

    Creation Date

    This is automatically time-stamped with the date when you created the record in step 1)

 

  1. Clicking the Notes button, brings up a pop up window which allows you to enter additional information regarding the scheduled call.

  2. Once created, the call record is stored against the corresponding Company, and can be viewed and actioned on the Correspondence tab on the Company detail record.
