Maintenance List Layout

The Maintenance List layout lists maintenance tasks (both pro-active and reactive) that have been entered and scheduled in strokeone, together with detailed task information such as:-

Additionally from this layout, users can create maintenance tasks, view a task's details, view a task's history, as well as administer scheduled maintenance tasks - i.e. mark them as started, paused or finished

This topic will instruct you how to understand the contents of, and the actions allowable from, the Maintenance List layout.

Layout Composition & Actions Permissible

For each maintenance record displayed, a series of its data fields, per the table below, are exposed.

Field	Comments	Updatable
Status	Uses the standard colour syntax to denote whether the maintenance task is not started; in progress; completed. Status is updated as the task is started and finished.	No
Date Required	The Date that the task is required to be completed by.	No
Date Scheduled	The Date that the task is actually scheduled to occur on.	Yes
Start Time	Timestamp of when the task was started.	No
Overdue Days	Calculated value: (Date Scheduled - Date Required)	No
Task	A brief header description for the task	Yes
Priority	A numeric value entered to denote the relative priority of the task. This can be used to assist sorting and gauging workload	Yes
Repeat	Denotes whether the task should repeat per the frequency / periodicity values. Clicking on this toggles the value between Yes and No	Yes
Frequency	These two fields work together to define how frequently within a period the task should be performed. e.g 1 per Day. Frequency is a numeric value, whilst periodicity is a drop down select - [Day; Week, Fortnight; Month, Year]	Yes

Department	Dropdown value to indicate the department which the task is being done on behalf of. (Note: values here can be added to in settings)	Yes
Sub Department	Drop-down value to denote which Sub-department task related to. Note: values here can be added to in settings)	Yes

Responsibility	Drop-down to denote to denote whom is responsible for carry out the task - whether a contractor, or the department itself	Yes

Notes:

Most of this information is created when the record is created, with the exception of calculated fields.
It is worth noting that some fields can be user updated from this layout.

(3) Details button - opens a pop up window which contains a series of additional data fields for the task - click for example

The details pop up window has three tabs.

Details Tab
This records who and when created and last modified the maintenance task, together with the task description, and a free form text entry field allowing detailed information regarding the task to be recorded.

Files Tab

This tab provides a portal to which you can insert files. See How to Insert a File into a container field for general instructions of how to add a file into a container portal.

Time Tab

The Time tab contains two main sections
(1) The task timings section contains data related to the scheduling of the tasks.
These fields are explained in the topic Creating Maintenance Record

(2) The KPI section contains information on the historic runnings of the task. Whom started, paused, stopped the task.

These three drop-downs allow the found-set to be filtered by the following AND logic
